The Piano Lab LLC 2025-26 Studio Policy 

Lesson Scheduling & Missed Lessons

Lessons are scheduled at a mutually agreed-upon time when a student enrolls. This weekly lesson time is reserved exclusively for each student for the entire teaching year.

If a student needs to request a permanent schedule change mid-year, this may be discussed, but changes are not guaranteed and depend entirely on availability.  

Cancellations & Rescheduling

All cancellations must be submitted through Fons.

  • Lessons canceled with less than 4 hours notice are considered missed lessons and are not eligible for rescheduling.

  • Group classes may be rescheduled only if there is an opening in another group class.

  • No one-on-one makeups will be provided for group or buddy lessons.

  • Any alternate times offered are optional courtesy openings and are not owed or guaranteed by the studio.

Refunds, Credits, and Tuition Adjustments

To maintain consistent scheduling and equitable enrollment for all families:

No refunds, credits, or pro-ratings will be issued for missed lessons for any reason.

The Monthly Subscription Cost already accounts for:

  • two annual teacher flex weeks

  • and two student absences that may not be rescheduled as stated in the policy. 

Inclement Weather

  • Private lessons will be moved online.

  • Group classes will be canceled. 

Late Arrivals

  • Lessons begin when the student arrives and end at the scheduled time.

  • For the last lesson of the day, the teacher will wait 10 minutes.

  • Online lessons: teacher waits 10 minutes; if the student arrives, the lesson proceeds. 

Withdrawal Policy

A 1-month paid notice is required to withdraw from lessons permanently. Tuition is due during this notice period. 

Tuition & Membership

The Monthly Subscription Cost covers:

  • 12 months of continual enrollment

  • 42 events (lessons + performance workshops)

  • unlimited access to Piano Lab Studio Licensed resources

  • participation in MTNA and WFMC evaluations

Materials Fee

A $60 annual Materials Fee is required for all enrolled students. This fee covers books, print materials, curriculum resources, and studio supplies used throughout the school year.

The Materials Fee is charged at the beginning of each school year on September 1st, or upon enrollment.

Tuition is the same each month and charged via AutoPay. Cash and check are accepted by the first lesson of the month; late payments incur a $10 fee. 

Tuition reserves a student’s weekly timeslot and membership in the studio. Attendance is the responsibility of the family.

Professional Communication & Conduct

To maintain a positive learning environment:

  • Email is the preferred method of contact.

  • All concerns must be communicated directly to the studio.

  • Posting defamatory, misleading, or retaliatory online reviews violates the professional expectations of enrollment.

  • Studio policies are firm and non-negotiable once the teaching year begins.

Photo, Video, and Media consent

  • By enrolling at The Piano Lab, you grant permission for the studio to capture photos, videos, and audio recordings of students during lessons, classes, rehearsals, and performances. These materials may be used for educational purposes, studio communication, promotional materials, social media, or the studio website.

  • No identifying information (such as full names) will be disclosed without additional consent.

  • If you prefer that your child not be photographed or recorded, please submit this request in writing at enrollment.

Policy Acceptance & Updates

By submitting payment, families acknowledge that they have received, read, and agree to comply with all current studio policies. The Piano Lab reserves the right to update or amend policies at any point during the school year. All changes will be provided in writing, and continued attendance and/or payment after notification constitutes acceptance of the updated policies.
